Role Overview
To support our vision of empowered young women challenging and transforming the world, we are currently seeking an Enrolment Associate. Reporting to the Executive Director of Enrolment Management, the Enrolment Associate is a compelling storyteller; someone who can share the advantages of an SMLS education with prospective families and with community partners. In this position, you will positively position SMLS within the community to help build the admissions pipeline to meet annual enrolment goals. Additionally, the Enrolment Associate is responsible for conducting student assessments, student and parent interviews and will make recommendations for admission. With a demonstrated ability to foster positive connections, you will further develop the feeder network, and plan and execute Admissions events. The Enrolment Associate will work closely with members of the Enrolment Management Committee, School Principals and Faculty.
With a focus on either Junior School (JK- Grade 5) or Middle and Senior Schools (Grades 6-12), the Enrolment Associate will be responsible for the daily planning, organization and data management for the division they lead. The Enrolment Associate is responsible for all collection of data points and trends; and in organizing the work of the admissions office to facilitate a smooth and efficient flow.
The successful candidate will demonstrate in-depth knowledge and experience in admissions and enrolment management with a strong client service orientation in working with families and community partners. You are a proactive contributor with well developed interpersonal, problem solving and oral and written communications skills. As the Enrolment Associate, you serve as a strong and enthusiastic ambassador for SMLS and girls’ education.

Education: Post-Secondary Education
Experience: 5+ years of related experience in admissions, recruitment, customer service, marketing, and/or education
Experience conducting student assessments
Experience in a non-profit setting (asset)
Experience in an Independent School (asset)
Additional language (asset)
Computer Skills: Mac, Google, Adobe Suite, familiarity with Blackbaud is a considerable asset.
Working Conditions: In-person with a shared office at our school.
Evening and weekend work is necessary on occasion.
Key Responsibilities
Based on divisional focus:

Actively participate in the recruitment & admissions process for families considering SMLS, sharing the advantages of the SMLS experience.

Maintain all admissions and enrolment related statistics.

Proactively manage applicant files from inquiry through to enrolment, including scheduling tours, interviews and assessments with prospective and applicant families.

Manage and update the Enrolment Management portal of the school database ensuring that all information is accurate and up to date.

Conduct and evaluate student entry assessments and interviews for students applying to SMLS.

Prepare applicant review files for Admissions Review Committees.

Build and manage a comprehensive student recruitment strategy by working closely with feeder schools and community partners, and in supporting the school’s commitment to diversity, equity and inclusion.

Assist in the planning, organization, and execution of Open Houses, New Parent, and New Student events as well as other Admissions related events.

Process Re-registration and Withdrawal documentation, updating tracking sheets and maintaining statistics.

Grow and manage a dynamic Student Ambassador Program.

Support the development of a comprehensive school-wide enrolment strategy based on data-driven insights and in alignment with the future goals and strategy for SMLS.

Oversee onboarding of new students & their families, through orientation events and engaging with New Family Liaisons.

Collaborate with Marketing & Communications to build effective admissions communication tools and contribute to an enhanced social media presence to drive interest in SMLS.

Represent SMLS at Open Houses, Education Fairs, and other Admissions or school-related events.

Provide administrative back-up and cross-training for other members of the Admissions & Enrolment team.

Your Knowledge, Skills & Experience
-
Post-secondary degree/diploma and/or equivalent work experience
-
5+ years of related experience in admissions, recruitment, customer service, marketing, and/or education
-
Ability to understand and analyze data to assist in setting priorities within the Admissions & Enrolment department
-
Exemplary interpersonal skills with a positive customer-service mindset
-
Strong communication skills and attention to detail
-
Experience in carrying out a variety of assessments across Junior, Middle, and Senior Schools including classroom observation, curriculum-based assessment and diagnostic teaching methods would be considered an asset

Confident with the use of databases, spreadsheets, and Google Suite

Prior experience in an independent school environment, education and/or a working knowledge of the Enrolment Management (Blackbaud) Enrolment Management module considered an asset
