OVERVIEW

We are seeking candidates for the position of Administrative Assistant. This role will support and coordinate administrative and event operations for the Guidance office and other student services departments and Managers, as required.   

Key responsibilities include:

  • Completes full range of administrative services including managing active calendars, report and briefing preparation, reviewing, inputting, and editing confidential correspondence and student data into appropriate systems, and organizes the resource centre.
  • Provides superior customer service as a point of contact for students accessing student services support.
  • Prioritizes conflicting needs; handles all matters expeditiously and proactively while maintaining discretion and confidentiality.
  • Maintains a functional electronic file system to file and preserve school business including budgets, student files, reports, etc.
  • Works closely with administrative staff or take the lead to organize and coordinate internal meetings, special projects, events, and student examinations.
  • Fields, filters, and prioritizes a high volume of generic questions, inquiries and communications received via email, telephone and in person to review and action. (IE: attendance, guidance, and general inquiries regarding the school.).

This position works Monday-Friday from 8:30am-4:30pm but this role requires flexibility during the school year as you may be required to work beyond the standard hours (weekends and after school) to support school events and activities such as Welcome Days, PSAT/SAT administration, examinations, etc.). 

QUALIFICATIONS

  • Minimum Grade 12 Secondary School diploma or post-secondary diploma or certificate in Office Administration
  • Minimum three (3) years’ administration experience in an educational setting.
  • Demonstrated ability with advanced Microsoft Office applications.
  • Exceptional organization skills and attention to detail.
  • Excellent writing, editing and communication skills.
  • Knowledge of the full range of administrative procedures, processes, and protocols for an office, including correspondence management, logistics, preparation of a variety of documentation for reference in student and team meetings, and event planning.
  • Strong sense of professionalism and ethics with a demonstrated ability to handle sensitive or private information with tact and discretion.
  • Ability to prioritize and manage conflicting demands with skills to assess incoming correspondence, telephone calls, visitors and complaints for attention and referral
  • Knowledge of the Internet for review and research of information as required
  • Ability to research, analyze and summarize information on resources and prepare summary reports with recommendations.
