Receptionist/Attendance/Guidance Secretary

Crestwood Preparatory College is a co-educational, non-denominational, private, day school that provides an enriched educational experience for its student’s ‎and families from Grade 7 through Grade 12.

Crestwood Preparatory College is currently looking for an energetic Receptionist/Attendance/Guidance Secretary commencing immediately. This position is the first point of contact for all visitors in the fast-paced and busy environment. As such, the Receptionist maintains a presence at the Reception area during regular School hours and ensures the efficient operation of the front office. This involves responding to the needs of visitors, parents, staff and students in person and over the telephone in a knowledgeable, friendly, and welcoming manner at all times. This position is also responsible for all attendance management processes, working with the Head of Guidance with necessary paperwork and data entry, as well as general administrative and clerical duties.

The core hours for this position are Monday - Friday, 8:00 a.m. - 4:30 p.m. 

Responsibilities will include, but are not limited to:

Reception

• Greet visitors, staff, students and school community members in a friendly, positive and helpful manner both in person and by phone

• In case of emergency, initiate and follow School Emergency Procedures

• Maintain an orderly and tidy reception and foyer area

• Provide admissions packages to prospective families

• Provide information to Crestwood Preparatory College community regarding school events

 

Attendance and Guidance

• Track and rectify daily attendance

• Sort and distribute incoming mail

• Manage outgoing mail including mass mailings for report cards, marketing, advancement, etc.

• Assist all departments with administrative tasks as needed

• Assist as needed with a variety of events and projects

• Prepare guidance documents as needed

• Enter information into our student database and keep this database up to date at all times

Qualifications:

• Excellent verbal and written interpersonal skills to best interact with students, parents, faculty, staff members and other members of the school community

• Previous receptionist experience in a busy and constantly changing office environment

• Strong attention to detail for accuracy in data entry tasks

• Microsoft Office, Google Applications and experience using a school database

• Ability to multi-task and shift focus with changing priorities and demands
