Executive Assistant - Maternity Leave position

September 1, 2019 to October 25, 2020

The Executive Assistant is a full-time year round position. The primary objective of this role is to provide administrative and organizational support to the front office and External Relations departments. The successful candidate will function with a high degree of attention to detail, accuracy, and prioritization of work in a team setting.

The ideal candidate:

  • Welcomes all who come to the front office by being friendly, knowledgeable and effective 

  • Reports to and provides administrative support to the external School departments (Admissions, Advancement, Communications and IT) and front office as needed.

  • Has a sound understanding and experience with pertinent databases; Provides expertise in data-entry, database management and search requests.

  • Generates key template-based letters and communications for Admissions and Advancement. Is available to support discrete projects for Communications and/or IT.

  • Provides planning and support for enrolment and advancement functions and events. 

  • Manage late bus schedule and provide support for residential busing. 

  • Works from 9:00 AM until 5:30 PM on weekdays during the academic year, and will support faculty and staff with school initiatives as required.  

Qualifications and Skills:

  • A minimum of 3 years of experience in office administration or post secondary training

  • Strong data entry skills with a high level of attention to detail and accuracy

  • An excellent working knowledge of Microsoft Office and Google apps

  • Excellent interpersonal skills and telephone manner

  • Proactive team player, a strong communicator and collaborator

  • Able to show and take initiative as appropriate

  • Able to work independently, manage a variety of tasks concurrently and perform well under pressure

  • Excellent organizational and time management skills

  • Understands and can demonstrate confidentiality and work within protocols and procedures

  • Able to function as a highly organized, accountable and self-directed administrator

  • Sound judgment and problem-solving skills

  • Able to work some overtime and have some flexibility with hours when required occasional events in the evenings and weekends.
