The Opportunity:

Reporting to the Executive Director, Advancement and Community Engagement (ACE) the Administrative Assistant provides support to the Executive Director and the senior managers, as well as serves as the receptionist for the Advancement and Communications offices. With strong organizational and administrative skills, you will leverage your experience to coordinate, and schedule meetings, calendar appointments, and prepare correspondence such as agendas, minutes reports and memos. Coordinating the logistics of meetings, seminars, workshops, special projects and events will come with ease to the successful candidate.

Additionally, the Assistant will assist with the preparation of materials and execution of events including, but not limited to, mailing invitations, taking RSVPs, and monitoring attendance. The candidate will also maintain and monitor the office budget and filing systems, including confidential donor information. You will also provide some assistance with gift processing in Raiser’s Edge.

With a degree or diploma in a related field and a minimum of 3 years related experience, the successful candidate is a skilled communicator with excellent service orientation, a sense of discretion and the ability to interact positively with various stakeholders including colleagues, donors, volunteers, and alumnae. With strong organizational skills, you are proficient in Microsoft Office and have the ability to learn and work with new databases with ease. Proficiency in Raiser’s Edge would be considered an asset. You thrive in a fast-paced environment and can multi-task with regular interruptions. Managing multiple priorities, deadlines and anticipating problems while identifying solutions comes with ease to the successful candidate.
